Manager, Corporate Services

Hockey Alberta is seeking a skilled and knowledgeable individual for a new role as Manager, Corporate Services.

The Manager, Corporate Services advances Hockey Alberta’s vision and mission by managing corporate administrative services; supporting financial processes, systems, and controls; coordinating human resources programs and records; and supporting compliance with occupational health and safety and other applicable requirements. The position works collaboratively with employees, volunteers, committees, service providers, and organizational partners to deliver accessible, respectful, timely, and consistent service.

Position responsibilities include:

Finance & Administration

  • Support accounting functions, including accounts receivable, accounts payable, deposits, point-of-sale systems, and account reconciliations.
  • Administer vendor accounts, maintain accurate contact and account information, respond to service requests, and communicate professionally with customers regarding outstanding invoices.
  • Maintain complete, accurate, and well-organized financial records and supporting documentation; identify and recommend opportunities to improve processes and internal controls.
  • Safeguard confidential, personal, and financial information in accordance with organizational policies and applicable legal requirements.
  • Support Hockey Alberta’s annual audit, including coordinating records and responding to information requests.
  • Support the Hockey Alberta Foundation’s financial administration, reporting, and annual audit requirements.

Office Systems

  • Promote efficient, consistent office operations by developing, documenting, implementing, and maintaining administrative procedures, filing systems, and clerical workflows.
  • Lead document-retention, information-management, and document-control practices, including Hockey Alberta’s transition to a secure paperless environment.
  • Serve as the primary liaison with Red Deer Polytechnic regarding maintenance requests, facility access, parking, security, and other office-related matters.

President & CEO and Board Support

  • Provide timely, accurate, and confidential administrative support to the President and CEO and Board, as required.
  • Provide administrative and coordination support to Board Committees as required.

Human Resources

  • Support the development, review, and implementation of human resources policies and procedures that align with organizational needs and applicable Alberta legislation.
  • Establish administrative standards, procedures, and tracking tools; monitor outcomes and recommend updates in response to operational needs, legislative changes, and recognized practices.
  • Coordinate occupational health and safety requirements, serve as the employer liaison to the Health and Safety Committee, maintain the occupational health and safety manual, and support ongoing compliance.
  • Maintain complete and accurate employee records and protect personal and confidential information in accordance with organizational policies and applicable legal obligations.
  • Coordinate annual compensation-review processes and prepare documentation and information to support leadership decision-making.
  • Act as the primary liaison for employee benefit programs; monitor employee and organizational needs, review trends, support enrolment and administration, and provide recommendations to executive management.
  • Manage payroll administration, including semi-monthly payroll processing and the accurate treatment of salary, vacation, taxable benefits, deductions, and other payroll items.
  • Maintain current, accurate, and consistent position descriptions in collaboration with role leaders.
  • Coordinate inclusive and accessible new-employee orientation and onboarding activities.
  • Coordinate performance management time lines, documentation, and related administrative processes.
  • Coordinate employee and volunteer award and recognition programs and maintain accurate records.
  • Administer volunteer compliance documentation, including criminal record checks, vulnerable sector checks, acknowledgements, and signed policies, as applicable to each role.
  • Respond to employee and volunteer inquiries respectfully, consistently, and in a manner that supports confidentiality, accessibility, equity, and inclusion.

QUALIFICATIONS & KNOWLEDGE:

  • Diploma or degree in business administration, human resources, accounting, office administration, or a related field, together with relevant experience; an equivalent combination of education and experience will be considered.
  • Approximately five years of progressively responsible experience in a professional office environment, preferably in a role involving corporate administration, finance, or human resources.
  • Working knowledge of bookkeeping and payroll principles, with hands-on experience using Sage Intacct or comparable financial software considered an asset.
  • Proficiency with Microsoft Office applications and experience with administrative systems, records management, and digital workflows.
  • Demonstrated ability to manage personal, employee, and financial information with discretion and in accordance with confidentiality and privacy requirements.
  • Strong written and verbal communication, organization, planning, and attention-to-detail skills.
  • Demonstrated ability to communicate professionally, exercise sound judgment, and build respectful working relationships with a wide range of internal and external stakeholders.
  • Ability to work both independently and collaboratively, manage competing priorities, adapt to changing circumstances, and meet deadlines in a busy environment.
  • Demonstrated initiative, creativity, and ability to support change, develop and monitor annual budgets, and follow organizational policies and procedures.
  • Ability to work additional hours occasionally when required to meet priority deadlines or support organizational activities.
  • Possess a valid driver’s licence.
  • Knowledge of hockey and experience in the sport or not-for-profit sector are considered assets but are not required.

WHAT WE OFFER:

  • Based on Hockey Alberta’s Compensation Policy, the salary range for this position is $65,000-$88,000 (relative to the successful applicant’s education, skills, and experience).
  • Upon completion of the six-month probationary period, you’ll be enrolled in Hockey Alberta’s comprehensive benefits plan.
  • Two weeks vacation annually, with incremental increases based on years of service as per Hockey Alberta’s Time Off Policy.
